Find a method that works with your Excel.

Choose your setup, then paste one URL per line. The default method creates QR images without sending data to an external API. Results update as you change the settings.

1. Set your environment and output

Device storage saves environment settings only, not your URL list. JSON files include the URL list, so check who you share them with.

    HOW TO

Add QR codes to your register in 3 steps.

For example, put instruction URLs in column A of an equipment register and QR images in column B. Check the URL content and access permissions on the devices people will use.

    01

    Choose your setup and URLs

Select your Excel version, macro availability, and output column. Start with one short URL to check compatibility with your workplace environment.

    02

    Save the recipe kit

Download QR images, placement VBA or formulas, instructions, and a sample CSV in a ZIP. For the external API method, the instructions also identify where data is sent.

    03

Place the images and test scanning

Follow the instructions to place them in Excel. Test scanning both on screen and in print, then apply the method to the remaining rows.

    QUESTIONS & ANSWERS

Before creating QR codes in Excel.

Are the URLs I enter saved on a server?

This page's tool does not send or save your URLs or table data to the site's servers. Local QR generation also requires no network communication. However, using the external API formulas in Excel sends the URLs being encoded to api.qrserver.com. Choose the local method for confidential information.

Which Excel versions support the IMAGE function?

This builder generates formulas for Microsoft 365, Excel 2024, and Excel for the web. They may be unavailable depending on updates, organizational policies, external image permissions, or service restrictions. If you see #NAME?, #BLOCKED!, or similar errors, switch to the local image method. This builder does not recommend IMAGE formulas for Excel 2021, 2019, or 2016.

Can I use this if macros are prohibited?

Yes. You can manually place locally generated PNGs using Excel's Insert menu. Excel for the web cannot run VBA. Automatically placing large numbers of images requires desktop Excel with permission to use macros. We do not provide instructions for bypassing organizational restrictions.

Are there limits on QR code length or quantity?

The local method uses QR version 5 with error correction level L, supporting up to 106 UTF-8 bytes per URL and 300 URLs per batch. URLs containing Japanese characters use more bytes. Replace long URLs with shorter URLs you manage. Images include a quiet zone. Scan reliability varies with print size, paper quality, and camera, so test the actual output.

What happens to existing images when I run it again?

The VBA identifies only images named by this tool and replaces or skips them according to your setting. It does not delete other images. Run it again on the same sheet and output column. If the processing range becomes shorter, older images outside that range remain. With the formula method, pasting replaces the contents of the destination cells.

Do QR images update automatically when I change a URL?

Local images are static. When a URL changes, regenerate the images on this page and replace them using VBA or manually. The IMAGE method follows the URL in its referenced cell, but depends on Excel recalculation and external image retrieval.
